Organisation Management
How organisations, profiles, role bindings, membership access, and team membership work in NowToPrint.
Organisation Management
Organisations in NowToPrint are the primary tenant boundary for users, resources, marketplace profiles, membership access, and billing or contract state. A single user can belong to multiple organisations with different role bindings in each.
Organisation profiles
Technical organisation types can still be personal, company, or supplier, but authorization and marketplace behaviour also use profile information:
| Profile | Description | Typical capability family |
|---|---|---|
| Buyer | Individual or company buying print | RFQ, quote compare, quote accept, order tracking |
| Supplier | Print shop or production vendor | RFQ inbox, quote create, order lifecycle, supplier capabilities |
| Broker / Agency | Acts on behalf of customers | Buyer plus selected supplier workflows |
| Vendor | Material or equipment vendor | Future vendor marketplace |
| Service Provider | Service supplier | Future service marketplace |
Personal account
- Created automatically when you register
- Works in the background without requiring configuration
- You can join a Company, Supplier, Broker/Agency or other organisation profile later
Company account (Buyer)
- For businesses that order print
- Role-based access for your team
- Shared documents and projects
- Membership and effective entitlement at organisation level
Supplier account
- For print shops and production partners
- Marketplace visibility and RFQ response workflows
- Quote, order, production, payout, and supplier capability controls
Note: A user can hold a personal account while also being a member of one or more organisations.
Organisation roles
Launch-safe organisation role templates are:
| Role | Description | Key permissions |
|---|---|---|
| 👑 Owner | Organisation owner | Members, settings, billing, critical management |
| 🔧 Admin | Organisation manager | Member management, settings, operational management |
| ⚙️ Operator | Daily operations user | RFQ, quote, order, or production actions by profile |
| 💳 Finance | Finance user | Billing and payment visibility/actions |
| 👁️ Viewer | Read-only | View-only access |
See the User Roles article for role, permission, and capability details.
Membership and entitlement relationship
Organization membership establishes the tenant boundary; role permissions and the current effective entitlement snapshot determine each action. Legacy package labels never grant authority.
- Print Customers begin with baseline purchasing capabilities.
- Producer Candidates retain baseline customer capabilities while producer actions remain closed.
- Verified, Expert, and Strategic Producer authority is activated only by the reviewed, time-bounded membership lifecycle.
- A persisted plan name or visible label cannot override an expired, revoked, tenant-mismatched, or otherwise denied grant.
Creating an Organisation
Go to Admin → Organisations.
- Organisation name: The display name.
- Type/profile: Personal, Company/Buyer, Supplier, Broker/Agency, Vendor or Service Provider.
- Owner: The user who will own the organisation.
Click "Create". The owner is automatically added with the Owner role.
Managing Members
Adding a member
- Expand the organisation row by clicking the ▼ button
- Click "Add member"
- Enter the email address and select a role template
- Click "Add"
Tip: If the email address is not yet registered, the member is added as "pending" and receives an invitation email.
Changing a role
Select the new role from the role dropdown next to the member's name.
Removing a member
Click the ⋮ menu next to the member and choose "Remove".
Add-on and legacy package note
Older add-on package language is no longer the canonical access model:
| Legacy phrase | Current model |
|---|---|
| Supplier Pack | Supplier capability family |
| MIS Pack | Supplier order lifecycle / production capabilities |
| CRM Pack | Customer/lead permissions and future capability set |
This keeps commercial packaging and authorization decisions on the same SSOT.
