PDF Requirements and Standards

Understand page boxes, agreed PDF/X targets, source export settings and the limits of structural screening.

A PDF carries page geometry, fonts, colour intent and other information needed to exchange a print job. PDF/X reduces ambiguity; it does not guarantee identical screen and printed colour. The printer's required profile, finished size, stock, binding and finishing plan determine the requirements for your job. An ordinary PDF is not automatically unusable, and a PDF/X label alone does not prove conformance.

Read the page boxes

BoxWhat it describes
MediaBoxThe PDF page's outer extent. It is not necessarily the physical production sheet.
CropBoxThe display or clipping region used by readers; it need not equal the finished size.
TrimBoxThe declared finished page boundary. Compare it with the ordered size.
BleedBoxThe declared region outside the trim boundary. A box is metadata, not proof of existing bleed artwork.
ArtBoxThe declared meaningful-content region, when supplied. Do not assume all five boxes form a strict nested hierarchy.

The required bleed allowance is job-specific; 3 mm is a common example rather than a universal platform rule. Keep text and logos within the printer's required safe area. Missing or inconsistent boxes need review; they do not by themselves describe the whole artwork or machine capability. Changing a box cannot synthesize a missing background. See bleed.

Choose the exchange target with the printer

PDF/X-1a is a restrictive target for agreed legacy workflows. PDF/X-4 permits live transparency and colour-managed content suitable for a capable downstream RIP/DFE. Do not force a PDF/X-4 job into an older target without understanding the press condition and any required external processing.

NowToPrint offers PDF/X-1a and PDF/X-4 structural screening. A clean screening result is not an independent PDF/X conformance certificate. The accessibility-declarations profile likewise does not establish PDF/UA compliance. A standard name in the file or menu is not a validator receipt.

Export at source

  1. Obtain the finished size, required bleed, colour/output-intent profile, binding and accepted PDF target.
  2. In the authoring application, set page size, extend background artwork and keep important content inside the required safe area.
  3. Export with the agreed target and necessary fonts embedded where permitted. Check for missing glyphs; a font name or subset flag is not sufficient by itself.
  4. Preserve the intended colour and transparency behaviour. NowToPrint does not convert RGB/spot colours to CMYK, flatten transparency, generate trapping or outline/replace fonts as a generic fix.
  5. Open the exported PDF, check page geometry and effective image PPI at placed size, then run the appropriate preflight profile.

Application menus vary; enabling a bleed export option only works if the document already has the correct allowance and artwork. A fixed DPI value, page count divisible by four, or automatic flattening is not a universal requirement for every print job.

Read the result

Distinguish a preview, a measured finding, a structural screening result and a production decision. Read supported and unsupported checks, sampling, unresolved findings and the exact file identity. A confidence value or successful download does not certify print quality. Any production automation requires separately verified, current native decision evidence bound to the exact report and file.

Keep the source PDF. Recheck a derived output after supported page operations; source-preservation and an output receipt do not replace the printer's production review.
