Print Shop Approval and Supplier Access
When a print shop becomes an approved producer and can quote in the NowToPrint live pilot.
Print Shop Approval and Supplier Access
In the live pilot, the rule that matters most to a print shop is this: registering is not enough to quote.
A print shop can see RFQs and submit quotes only after an admin reviews it and makes it an approved producer.
For live quote access, approval must be canonical: producerApproval=active and marketplaceStanding=clear. Suspended, blocked, missing, or paused standing records keep quote submission closed.
This access does not allow quoting the print shop's own demand. A print shop can open an RFQ for its own buying need, but the same organization cannot quote that RFQ as a producer and the request is not shown in its supplier opportunity list.
Supplier screens do not show competitor quote rows, prices, print shop names, or aggregate quote/view counts. A print shop sees only its own quote state and the action steps opened for that organization.
Producer verification is independent from legacy package labels. A Producer Candidate can enter review, but quote access still requires canonical platform approval and clear marketplace standing.
Approval required
A print shop that is not an approved producer cannot quote. Even with an account, a profile and an organization in place, producer screens stay closed until admin approval and clear marketplace standing are both complete.
While approval is pending, the user can keep using the normal buyer dashboard. RFQ inbox access, quote submission, public supplier/producer listing, and producer operations stay closed. Protected print-shop routes show an activation notice instead of operational tools.
Access states
| State | Meaning | Can quote? |
|---|---|---|
| Registered | User account exists | No |
| Organization created | Print shop organization exists | No |
| Pending approval | Admin review is waiting | No |
| Approved producer | Role, access and standing are clear | Yes, except its own organization's RFQs |
| Suspended or rejected | Access is closed | No |
Where does admin review it?
Admin review page: /tr/admin/organizations
Admin should check these points there:
- Is the organization really a print shop?
- Does the organization hold the right role?
- Is marketplace producer access active?
- Is the approval state active?
- Are
producerApproval=activeandmarketplaceStanding=clearboth true? - Has access been suspended where it should be?
Where does a print shop quote?
Once it is an approved producer, a print shop sees active requests here:
/tr/dashboard/print-shop/incoming-rfq
Risky or manual-review requests can stay published. They are closed to one-click quoting; the print shop reviews the scope and production evidence on the detailed quote screen instead. The system issues an evidence review token for that check and binds it to the quote record. If the customer picks that quote, the same evidence is required again at the transition to an order.
Admin can separately pause an RFQ's marketplace visibility, which removes it from incoming RFQ lists. If admin pauses only quote intake, the request can stay visible while quoting shows as closed; admin has to lift the quote block before quotes are accepted again.
If a quote is accepted, the resulting order is tracked here:
/tr/dashboard/print-shop/orders
Why this matters to the customer
Customers expect quotes to come from print shops that were actually vetted. That is why the pilot gets the approved-producer list working correctly before growing the number of suppliers.
Pre-launch checklist
- 10+ trusted print shops made approved producers by admin.
- A print shop awaiting approval cannot see active requests.
- A print shop that is not an approved producer cannot quote.
- Quoting stays closed when
marketplaceStandingis missing, suspended or blocked. - A print shop cannot quote an RFQ its own organization opened, and that request does not appear as an incoming RFQ opportunity.
- A print shop cannot see competitor quote rows, prices, print shop names, or aggregate quote/view counts.
- A suspended print shop loses quote access.
- When an approved producer quotes, the customer can see it on their private tracking link.
