Order Lifecycle & Kanban

Understanding the processes from order creation to delivery and the operation tree in the Kanban Board interface.

Print Shopdocs4 min readReviewed Apr 9, 2026

Order Lifecycle and Production (Kanban)

The backbone of NowToPrint is the error-free "Job Workflow" infrastructure that begins once an order is created. Processes operating to JDF and PrintTalk standards ensure your operations department manages orders without mistakes.

Automation (Preflight)

The platform automatically runs a "Preflight (Pre-Press Review)" scan on the PDF documents of every order that enters the system. Faulty files are placed on hold directly in the Kanban board and a "File Repair Request" is sent to the customer.

Production Architecture (Mermaid Flow)

Orders can enter the system via the Marketplace or through the wizards inside the Organisation (Print Shop). Regardless of the entry point, every order passes through the following stages:

1. Order Request / New Cart 2. Board: Opened as "Awaiting Approval" 3. Send PDF and Document Analysis 4. Result Successful (Ready For Print) 5. Automatic Status Change: "Printing" If the PDF is faulty, a RED flag appears on the Kanban card. Customer (B2B/B2C) Order API Preflight (AI/PDF Engine) Kanban Board

Live Kanban Experience (Live Sandbox)

When orders land on your workshop's status board, you will see an interactive Kanban (Trello-style) management interface similar to the one below. You can also test how cards are moved manually from one station to another (click to try — for simulation purposes):

Order Workstations (Statuses)

The main Kanban stations an order can occupy carry the following meanings:

Awaiting Approval (Draft / Pending)

The customer has created an order request in the system, but the payment channel has not yet been verified or the Print Shop management has not officially confirmed the job.

Pre-Press (Preflight)

The critical station where technical data, graphic documents (DPI, Bleed, MediaBox) and accounts-receivable credit limits are reviewed by the software (or your operators).

Printing (Printing & Workflow)

The approved job is sent as JDF to the local machine (RIP Server or Edge-Hub). The print shop machine reports its active production status to the cloud.

Quality Control and Shipping

Printed products have left the guillotine, binding and folding department and are handed over to the courier for dispatch. A notification is sent to the customer.

Estimated Processing and Delivery Times (SLA)

Our automation rules generate timestamps at each station transition.

Kanban StageSLA Duration (Average)Red Alert Reason

Smart Production

Jobs with the Urgent (High Priority) tag turn the Kanban Board warning colour to "Flashing Red" when SLA limits are tightening. Managers should keep this board open on large screens.

Frequently Asked Operational Questions

Can I cancel an order while it is in the Preflight stage?
Yes, all orders that have not yet gone to plate / have not received a JDF print command to the machine can be cancelled under the "Return" rules. Simply move the status to the "Cancelled" column.

What happens if the PDF fails pre-press?
The system automatically sends the customer a message: "Your file XYZ.pdf was rejected due to missing bleed. Please follow the guidelines and re-upload." The job remains on hold in the Kanban at this stage.

Where is the shipping tracking code entered?
As soon as you move (drag) the order status to the "Shipped" section, a pop-up appears prompting you to add the courier and dispatch note information.
