Order Payment Confirmation

Understand payment declarations, finance verification and the separate production gates.

Accepting a quote creates an order. Payment evidence, required files, any proof approval and the production handoff are separate checks before manufacturing can begin.

NowToPrint is the buyer’s commercial counterparty: the business model is to collect the buyer’s payment and pay the print shop after delivery, less commission. The current manual finance workflow does not promise automatic provider collection, escrow, refunds or supplier payouts.

From order to payment readiness

  1. Review and accept the quote’s amount, currency and payment terms.
  2. Open the created order and check its payment summary.
  3. Follow the instructions for the agreed method. A payment-readiness check confirms whether that request is permitted; it does not record a payment, approve credit or release the order.
  4. For a transfer, report the payment and attach evidence. The declaration awaits finance verification against bank records.
  5. Platform finance verifies the payment entry or approves eligible credit terms. The payment summary is recalculated from those records.
  6. File, proof and production handoff checks must also pass before the authorised production stage can advance.

How payment is confirmed

A receipt upload stores a document. Submitting a payment declaration creates evidence awaiting review. Only verified payment entries count as paid; a receipt or successful submission message is not settlement confirmation.

The payment requirement depends on the order’s recorded terms:

TermsPayment-side condition for production
Full upfrontThe full payable amount must be verified
Partial upfrontThe agreed upfront amount must be verified; the balance remains due
Open account / net termsPlatform finance must approve the credit terms

An open-account order may therefore remain unpaid while its payment-side release condition is satisfied. Payment exceptions or amount mismatches require finance review.

What the buyer sees

The payment ledger shows the payable amount, verified paid amount, declarations awaiting confirmation, outstanding balance, terms and payment entries. If the ledger cannot refresh, resolve the warning before treating the displayed balance as current.

The public payment-readiness workflow supports bank transfer, manual EFT and open account when enabled. Card checkout is not part of that manual workflow. A method recorded in a quote or ledger is not proof of a live provider payment facility.

What the print shop sees

Payment clearance permits the separate production checks to proceed. It does not itself start a PrintTalk job, PDF processing, Edge Hub, XJDF execution or fulfilment. Required file approval and verified production information still apply.

If readiness is unavailable

The readiness check depends on the order’s method, payment state and hold. The current check may reject some payment-ledger states as unavailable. That response does not establish that you have paid or need another transfer. Check the ledger and recorded instructions; if the next action is unclear, contact support with the error and order number.

If something is wrong

For missing instructions, invoice questions, amount mismatches, refunds or rejected declarations, contact info@nowtoprint.com with the order number. If a submission has an uncertain result, use the offered retry and check the ledger before making another transfer or creating another declaration.
